Redesigning HR Operations: Unified Employee Platform

HR tools were fragmented and misaligned with workflows, causing inefficiencies and errors. Led the consolidation and redesign of all HR tools into a single, cohesive platform. Collaborated closely with HR to map workflows, build the information architecture, and iterate on designs based on feedback. Resulted in a unified, user-friendly platform that reduced workload, minimized errors, and improved efficiency for HR and employees.

  • Pain points: HR faced inefficiencies because existing tools didn’t match actual workflows, and platform limitations prevented smooth execution of processes. This caused duplicated work, inconsistent employee data, and difficulty managing leave, onboarding, and organizational hierarchy. Employees and managers experienced confusion and delays.

    Target user / stakeholder: HR team (primary), employees and managers (secondary).

    Impact: Increased administrative workload, higher error rates, slower processes, and frustration among staff.

    • Led the redesign and consolidation of all HR and employee tools into a single, unified platform.

    • Directed the project and aligned stakeholders across product and HR teams, ensuring HR needs were central to the UX strategy while minimizing dependency on developers.

    • Built the Information Architecture by mapping all existing HR workflows and tools, identifying redundancies and mismatches.

    • Conducted iterative feedback sessions with HR, validating design decisions and adjusting flows to match real-world processes.

  • Unified Platform: Consolidated fragmented internal assets into a single platform with a cohesive UI, improving consistency and usability across tools.

    Information Architecture: Reorganized assets through smarter grouping and role-based access, supported by a landing page that streamlines navigation for employees with different roles.

    Leave Management: Redesigned the leave filing system with clearer workflows—introducing a Gantt chart for managers to visualize schedules and empowering employees with transparent access to leave credits and requests.

    Employee & Organization Management: Built a centralized system to streamline employee data, reduce redundancies, and establish a clear organizational hierarchy—improving accuracy and efficiency for HR and staff.

    Digital Onboarding: Designed a guided onboarding asset that supports new hires with structured steps, training schedules, and requirements, ensuring a smooth transition into the organization.

Information Architecture Mapping

A key part of the redesign was creating a high-level information architecture in close collaboration with HR. This was a necessary step to consolidate fragmented assets, streamline categories, and align role-based access with actual employee needs. The IA served as the foundation for the design work that followed, enabling a unified platform with a consistent UI, intuitive navigation, and a role-based landing page that made tools easier to find and use.

Leave Management

The leave management system was redesigned to simplify the employee leave filing process. Managers can view leave schedules through a Gantt chart and approve or decline requests, while employees can easily track leave credits and review their requests. The redesign improves usability and streamlines leave management for both employees and managers.

Employee Management

A new employee management system was implemented to serve as a centralized master list, connecting employee information to benefits, digital onboarding, recruitment, and organization management. By streamlining enrollment into a single process, the system eliminates redundancies, ensures data consistency, and provides a seamless experience for both HR and employees.

Organization Management

The employee management system integrates closely with organization management to establish and maintain the company’s hierarchy. It enables the creation of divisions, departments, and functional groups, while allowing leaders to be assigned to each entity. This integration ensures a clear, organized structure that supports effective management and streamlined workflows.

Digital Onboarding

To streamline the onboarding process, we developed a digital onboarding system that guides new hires after selection. It provides clear instructions, training schedules, and all necessary steps to complete pre-employment requirements, ensuring employees are well-informed and supported throughout the process.
