I was given a significant project that involves redesigning and consolidating all the internal assets currently utilized by employees into a single platform. The main objective is to enhance the overall user interface (UI) of these assets, ensuring a consistent and cohesive appearance across the board. Another crucial aspect is improving the organization of each platform through effective grouping, known as Information Architecture. Currently, the assets are categorized based on individual roles, resulting in different assets for each employee to access. Additionally, a landing page has been developed to facilitate easier access for employees with various roles, enabling them to conveniently select the desired features they need to access.
The existing system, SAP Fiori, was redesigned and enhanced to facilitate the process of employee leave filing. Through this updated system, managers have the capability to view an employee's leave schedule using a Gantt chart and subsequently approve or decline leave requests. Moreover, employees can access information regarding their leave credits and review their existing leave requests. This redesign was implemented with the intention of improving upon the SAP Fiori platform, as it was scheduled for decommissioning by the end of the year.
The SAP decommissioning had an impact on the employee master list, leading to the implementation of an employee management system. This new system serves as the centralized master list for employees, linking their information to various aspects such as benefits, digital onboarding/recruitment, and organization management. In the past, the Human Resource department had separate assets for enrollment, requiring multiple enrollments for each asset. However, with the new system, enrollment is streamlined to a one-time process, providing a more seamless experience for both HR and employees. This consolidation also eliminates discrepancies in values across different assets, ensuring that employee information remains centralized.
The employee management system is closely linked to organization management, as it facilitates the establishment of the organization hierarchy. This includes functions such as adding divisions, departments, and functional groups, while also providing the ability to assign a head to each of these entities. By integrating organization management with the employee management system, the hierarchical structure of the organization can be effectively built and maintained.
In order to enhance the onboarding process for prospective employees, our team created a digital onboarding asset. This asset comes into play once an applicant successfully passes the selection process and needs to be onboarded into the organization. Within this asset, the employee is provided with clear guidance on the next steps to take, including training schedules, to ensure that all pre-employment requirements are fulfilled. This digital onboarding asset aims to streamline and facilitate the onboarding experience, ensuring that new employees are well-informed and supported throughout the process until they have completed all necessary pre-employment procedures.
